Returns and Refunds Information

Rental of Stands for Exhibitors

Booth rental includes space, furniture, TV, electricity and internet. Due to the costs of space management and reservation of technical services, the following policy applies:

Reserve Deposit:

25% of the total booth rental is considered “management and reservation fees” and is not refundable under any circumstances beyond the control of the organization.

Cancellation by the Exhibitor:

    • Up to 45 days before: Refund of the remaining 75%.
    • Less than 45 days: There is no refund, since the space has been blocked and the technical services (electricity/Internet) have already been contracted.

Management Expenses and Exchange Differential

The Congress organization is not responsible for additional expenses derived from the financial transaction. In case of refund, only the net amount received by the organization in Euros will be returned.

    • Banking Commissions: Any commission charged by the issuer's bank, payment platform or intermediaries will not be refundable.
    • Currency exchange: We do not assume responsibility for the difference in the final amount received due to fluctuations in the exchange rate between the currency of origin and the Euro (€), nor for the fees that your bank applies for currency conversion.
    • Transfer Expenses: In case of refunds by international transfer (SWIFT), the issuance and reception costs will be borne by the beneficiary.

Cancellation due to Force Majeure

In the event that the organization is forced to cancel the congress due to force majeure (health emergencies, natural disasters or government restrictions), a full refund of the amount paid for tickets and stand rental will be made.

Travel and Accommodation Liability Waiver

The Congress organization is not responsible under any circumstances for the expenses derived from the hiring of flights, trains, ground transportation or accommodation that the attendees or exhibitors have managed independently.

Recommendation: We strongly suggest all attendees and exhibitors purchase private travel insurance to cover transportation and accommodation cancellations.

Refund Process

Refunds will be made exclusively for the net value paid on the platform.

Once the request is approved, the credit will be processed within 7 to 15 business days, using the same payment method used in the purchase (or the one available depending on the circumstances).
